Choosing donuts for an occasion means matching the box to the moment: who's eating, when they're eating, and what else is on the table. Ask about crowd size, dietary needs, timing between pickup and serving, variety versus a single crowd-pleaser, and whether the donuts are the centerpiece or a side. Those five questions solve most orders.

At Sam's Donuts we've packed boxes for baby showers, funeral receptions, Little League snack duty, and 6 a.m. contractor breakfasts. The donut that wins each of those rooms is different. So the questions have to come first.

Who is actually going to eat these donuts?

Start with the crowd, not the catalog. A room of eight-year-olds wants sprinkles, glaze, and something they can identify at a glance. A room of coworkers at a Monday standup wants a spread with at least one classic (old-fashioned or plain glazed), one filled, and one thing that looks fun without being weird.

Age matters. So does context. Kids at a party will eat sugar on sugar. Adults at a work meeting want at least one option that isn't a sugar bomb, because they're going to sit at a desk for four hours afterward.

Ask about allergies before you ask about flavors. If someone in the group can't do nuts, that shapes the whole box. Same for anyone avoiding dairy or gluten. Better to know before we pack than after.

How many donuts do we actually need?

Here's where most people get it wrong. Most first-time orderers ask about price before quantity. That's the wrong first question. Ask about waste instead, because a box that runs out at minute ten is a worse outcome than three donuts left over.

Our working rule for mixed adult crowds:

  • Plan on 1.25 donuts per person for a morning event where donuts are the main food.
  • Plan on 0.75 donuts per person when donuts are one option next to fruit, bagels, or a hot breakfast.

  • For office meetings, add two or three beyond headcount for late arrivals and the second-donut crowd.

A quick scenario. A customer comes in sure they need four dozen for a 30-person office breakfast. We ask what else is on the table. Bagels, fruit, coffee. Three dozen is closer to right. That's a full dozen they didn't need to buy, and nobody goes home with a sad half-eaten cruller.

Should we order one style or a variety box?

This is the question that decides whether your event feels generous or fussy. A single style reads as intentional when it's the right style. Variety reads as generous when the crowd is mixed. Both can work. Both can also flop.

When should donuts be picked up versus delivered?

Timing is the quiet killer of donut orders. A donut picked up at 6 a.m. for an 11 a.m. meeting is a different donut by 11. Glaze softens. Filled donuts bloom. Cake donuts hold better than yeast donuts, but nothing improves with five hours of sitting.

Our rule: pick up as close to serving time as your morning allows. If that isn't possible, ask us which styles hold best for your window. Cake donuts, old-fashioned, and simply glazed rounds travel and wait better than cream-filled or elaborately topped choices. How far ahead should we place a large order?

For orders of three dozen or more, 48 hours is a comfortable window. For specialty requests or themed selections, three to five days gives us room to source what you need. Can we mix flavors within a dozen?

Yes. Mixed dozens are the most common order we pack. Tell us how many people, what the event is, and whether the crowd skews kid, adult, or mixed. We'll suggest a balance. If you have specific favorites you want included, name them when you call.

What if we don't know exactly how many people will show?

Give us your best estimate for confirmed guests. We can talk through whether to round up based on the type of event. A drop-in open house needs different math than a seated meeting with an RSVP list.

Do donuts stay fresh if we pick them up the night before?
